Choosing Clinic CRM in Armenia: What to Check First

Choosing clinic CRM in Armenia? Check data isolation, access roles, appointment conflicts, signed records, exports, local formats and real integration scope.

When choosing clinic management software in Armenia, start with your workflow. Dental, aesthetic, hair transplant, cosmetology, diagnostic and multi-specialty clinics can have different needs. Prepare a fictional patient's journey for the demonstration, from the initial call and booking to the clinical note and data export. Ask the vendor to perform those actions in front of you and identify steps that still require vendor intervention.

Are different clinics' data actually isolated?

A multi-tenant system serves independent clinics on a shared platform. Request separate demonstration clinics and check that staff cannot access another clinic's patient by changing a record identifier or link. Hiding data on screen is insufficient: the server must enforce access boundaries. Ask specifically about attachments, searches, reports, exports and background jobs. Restoring a backup must preserve those boundaries too.

Check permissions and signed medical records

Receptionists, doctors and accountants need different permissions. Under each role, try opening a chart, changing a note and exporting data; a refused action belongs in the demonstration. Check whether a signed medical record can be silently overwritten or deleted. The workflow should preserve the signed version and record corrections as linked amendments with an author, timestamp and reason. Closing a departing employee's access should preserve their previous authorship.

Test the schedule with simultaneous actions

Ask staff to book overlapping appointments with the same doctor simultaneously. Repeat with rescheduling and imports. Does the database reject the conflict, or does the interface merely warn? PostgreSQL exclusion constraints can reject overlapping ranges, as the official documentation explains. The vendor should demonstrate its actual mechanism, covered resources and appointment statuses. Also request demonstrations of doctor absence, room occupancy and equipment availability.

Check exports and local working formats

Discuss your exit before importing data. Printable PDFs alone are unlikely to support migration. Request a sample export in a readable, structured format containing charts, appointments, attachments and their relationships. Open it outside the application. Clarify how record versions and change history transfer, who performs the export and what access remains after the contract ends. Having a backup does not automatically mean having a usable export.

  • Test Armenian, Russian and English name entry and search, including exported files.
  • Require explicit AMD amounts with consistent decimal and rounding rules.
  • Check local date formatting and the Asia/Yerevan timezone, including imports and exports.
  • Print a document and distinguish an invoice from a fiscal receipt; do not assume equivalence.

What does the vendor mean by integration?

A logo on a slide proves little. Ask what data leaves, where it goes, whether the external system acknowledges it and what happens on failure. Distinguish an adapter interface, a test environment, a simulator and a live service connection. Request a failed request, its retry and the responsible employee's response. Establish who maintains the connection when the external system changes requirements or operating conditions.

For ARMED, verify official access, documentation and applicable clinic workflows with the operator. For messaging, ask to see the connected provider and actual delivery outcome. For payments, check money collection and fiscal document issuance separately: printing a tidy invoice proves neither. Record which connections operate today and which remain demonstrations or planned work.

What you will find in MedOne

In MedOne, each clinic's data is isolated at the database level, the database rejects overlapping bookings, and signed medical records do not change: corrections are made as amendments with an author, time and reason. Roles limit access, and every change is written to the audit log. Data can be exported to CSV and XLSX.

For integrations, MedOne clearly separates what works today from what is connected on request: ARMED, messaging channels and telephony. Finish your evaluation with a list of verified checks and open questions, agree it with the vendor and assign an owner to each question.
